ESCORTED TOURS

 

TOUR PRICES

 

MINIMUM AGE FOR ROOM OCCUPANCY

On tours that overnight in Las Vegas, one person per room must be a minimum of 21 years old. On all other tours, one person per room must be a minimum of 18 years old.

 

TOUR CANCELLATION

We reserve the right to cancel a departure thirty (30) days prior and/or to operate a tour in a minibus should the number of participants warrant it.

GUESTS WITH DISABILITIES

TravelsinUSA.com will do all possible to reasonably accommodate these passengers. However, such bookings cannot automatically be confirmed as, for example, not all coaches are equipped to ccommodate wheelchairs, personal scooters or electric convenience vehicles, and special arrangements need to be made. Moreover, our tour guides, for insurance reasons, are not able physically to assist passenger transfers from wheelchairs or similar types of conveyances. Passengers needing physical assistance for personal needs should be accompanied by an able-bodied companion. Guests with disabilities wishing to book an Escorted Tour should especially be aware that our coaches are not equipped with lifts for wheelchairs and similar types of conveyances. If a guest requires a wheelchair, it needs to be collapsible. If a guest requires reasonable accommodation, please inform us at the time of booking and we will make every attempt to provide this.

 

DEPARTURE & RETURN POINTS

The place and approximate departure and return times for each of our tours is advised on our website. Although return times are listed as approximate, TravelsinUSA.com takes no responsibility for delays caused by traffic, weather, or circumstances beyond our control. We strongly suggest that passengers reserve pre and post tour nights in the city of arrival and departure. We also ask you to use 24-hour emergency telephone service via our New York phone number shown on Voucher (booking confirmation) immediately if you will be late for departure or if you cannot find our tour escort at the designated time and place of departure. TravelsinUSA.com will not be held responsible for passengers who miss the departure.

 

DOCUMENTATION

At the start of the tour, all passengers will receive a documentation kit, including a map and comment form to rate the various components of the tours.

 

MEALS

Meals are not included unless specifically stated in the tour description and in the list of tour inclusions.

 

SEAT ROTATION

In fairness to all passengers, TravelsinUSA.com has established a seat rotation schedule during the course of our tours. Unfortunately, we are not able to honor requests for special needs.

 

OPTIONAL TOURS

Additional excursions are offered to enhance passenger’s experience. A list of authorized optional excursions with descriptions for each tour can be found on our website. We do not support any excursion that is not part of our authorized excursion list. The tour guides cannot be held responsible for reconfirming any services or excursions which were booked prior to the clients’ arrival in the United States.

 

FLIGHT RECONFIRMATIONS

Due to heightened security regulations, tour guides are unable to reconfirm passenger’s return flights.

 

LANGUAGES/DATES

TravelsinUSA.com operates multilingual tours in English, French, Dutch, German, Italian and Spanish.

 

GROUPS JOINING ESCORTED TOURS

TravelsinUSA.com welcomes small groups joining our scheduled departures. However, we are not able to accommodate specific requests from group leaders for any changes to the itinerary, optional excursions or suppliers, nor can the group leader make changes to the rooming list. The coach cannot be used for private transfers or excursions for the group and they must participate in the scheduled seat rotation.

Documentation can be delivered to EITHER the first hotel OR to clients via pdf download. Client delivery procedures (first hotel OR pdf download) will apply to all of a client’s Fly-Drive bookings.

 

DELIVERY VIA PDF DOWNLOAD

Delivery via pdf download is the default delivery method. For the pdf download delivery option, a link to the documentation will be e-mailed to the passenger 16-21 days prior to the Fly-Drive start date. Please make sure a reliable and verifiable e-mail address has been established and communicated to TravelsinUSA.com. Should pax be departing early and need documentation before the 16-21 day delivery date, please advise us as early as possible.

 

DELIVERY TO FIRST HOTEL

Delivery to the first hotel is via Fedex or similar service

which provides delivery confirmation.

CHANGES & FEES

Changes or modifications to a previously confirmed itinerary within 30 days of arrival will incur a nonrefundable $50 fee per change. Itinerary changes by passengers once a tour has started will incur additional charges. No refund will be made for unused services confirmed in the original itinerary.

 

 

FIT HOTELS

 

HOTEL STAR RATINGS & DESCRIPTIONS

As there is no official rating system for hotels in the USA, we use our own star rating system to assist you in selecting the correct accommodation for your clients. These ratings are based on our knowledge of the properties and our years of learning what our customers look for.

Please note that our ratings may be different from those used by other organizations and that the description and price should also be considered when making your choice.

Accommodation is rated from 1 to 5 stars, according to the criteria below.

Certain types of accommodation such as villas, apartments, ranches and lodges may not adhere to the following guidelines but have been rated according to their overall standard.

Strictly budget accommodation offering basic rooms, often hostel-style with shared bath (indicated in the description). Limited or no public areas. Recommended for students and clients on a tight budget. Not usually recommended for families.

An economy property (often motel-style), offering simple but adequate accommodation. Public areas and on-site dining (when available) are usually limited. Recommended for cost-conscious clients.

 

***

Typically a full-service property, offering comfortable accommodation and standard in-room amenities. A

restaurant is normally available and other services and facilities are often offered. They provide a reliable choice for families, senior citizens, or couples. These are the best properties for first time travelers to the U.S.A. who need to keep travel costs in mind.

 

****

A superior property, offering well-appointed accommodation and excellent in-room amenities. Expect good facilities, comfortable public areas and a high level of service. Recommended for all types of travelers for whom cost is not a primary factor in choosing accommodation or for those looking for some level of luxury for an extended stay.

 

*****

Luxurious, exceptional property offering the highest international standards of comfort, service, and cuisine. Recommended for a discerning clientele looking for the best accommodation in their chosen destination.

 

BEDDING

As most of our rooms are run-of-the-house, neither TravelsinUSA.com nor the hotels guarantee one bed per person in doubles, triples and quads. Double rooms may contain only one double bed. Passengers requiring separate beds should specifically request this at time of booking. Separate beds will then be placed “on request”, but cannot be guaranteed.

Triple and quad rooms usually contain two beds, one of which may be a rollaway. The occupancy of a room is defined by the number of paying adults and not by the configuration or number of beds provided. Additional rollaway beds are available at an extra charge, payable directly to the hotel, but their availability cannot be guaranteed.

 

FAMILY PLAN

When a hotel offers a Family Plan, it means that one or two children, up to and including the age indicated, may stay free of charge if sharing the room and existing bed configuration with two full paying adults. Booking requests must clearly indicate the full names and ages of all children so that the Family Plan will apply. It does not guarantee that the children will have separate bedding. Should parents wish to pay for additional bedding, they should request it at the time of check-in.

 

HOTEL CHECK-IN PROCEDURES

All reservations are subject to final verification of passenger ID at the time of check-in. The hotel must be

able to match the passenger’s name as it appears on his/ her passport with the voucher that you issue and the name on the reservation.

In the event that the hotel determines that a passenger has failed to provide proper identification and a voucher, the hotel may charge the passenger’s credit card or refuse the booking entirely.

TravelsinUSA.com assumes no responsibility for such errors (unless the fault of TravelsinUSA.com) or for any claims that may result from such issues.

Most hotels in the United States and Canada require a credit card deposit upon check-in to cover any incidental costs that may be incurred. In most cases, a “hold” will be put on these funds. Guests should be advised that, if they use a debit card, the funds will be withdrawn automatically from their account and may take time to be refunded. For this reason, we do not recommend the use of debit cards for this purpose.

 

HOTEL CHECK-OUT PROCEDURES

In order to avoid any billing problems that may arise, we strongly recommend that passengers follow each

hotel’s established check-out procedures, get a copy of their bill, and review all charges before leaving the hotel. Should there be any issues upon check-out, we ask that passengers contact us immediately at phone number shown on Voucher (booking confirmation) so that they can be resolved on the spot.

 

EARLY CHECK-OUT

Early check-out is regarded as a cancellation of the applicable nights and the cancellation policy for those

nights will apply.

 

MEALS

Meal Plans generally begin with dinner on the day of arrival and end with breakfast on the day of departure. Meals are not included in our rates unless otherwise specified.

 

SPECIAL REQUESTS

Special requests (e.g. for a handicapped-accessible room, non-smoking room) need to be clearly indicated at the time of booking. TravelsinUSA.com will make every effort to confirm special requests prior to passenger’s arrival, but does not automatically guarantee them unless specifically confirmed in writing.

 

HOTEL CLOSURES/FORCE MAJEURE

On occasions, circumstances beyond our control (“Force Majeure”) may mean that passengers have to be moved to alternate accommodation. If the circumstances are deemed to be beyond our control, then TravelsinUSA.com will not be responsible for any additional cost incurred in finding alternate accommodation. The performance of any reservation agreement for hotels or services is subject to circumstances including (but not limited to), hotel closures, Acts of God or Nature (including fire, flood, earthquake, inclement or intemperate weather or storm, hurricane or other natural disaster), war, invasion, act of foreign enemies, hostilities (whether war is declared or not), civil war, rebellion, revolution, insurrection, military or usurped power or confiscation, terrorist activities, nationalization, government sanction, blockage, embargo, labor dispute, strike, lockout or interruption or failure of utilities or telephone service. TravelsinUSA.com may not be held liable in any matter of Force Majeure.

 

FIT HOTEL RATES

TravelsinUSA.com continually works to negotiate the best possible rates for quality accommodation. Our FIT (Foreign Individual Traveler) rates apply exclusively to individual or family leisure travel for residents of countries other than the U.S.A.

In the event that business or convention travel bookings are made, the hotel reserves the right to cancel them upon check-in or relocate them. In either case, TravelsinUSA.com assumes no responsibility for the consequences of such bookings or for any other type of booking prohibited by our Terms and Conditions.

 

TAX INCREASES

Our prices include all relevant federal, state and locally imposed taxes. These taxes are subject to change, often at short notice. Should taxes increase, we will notify clients and bookings will be adjusted to reflect the revised tax rates.

PASSENGER AND AGENT EMERGENCY ASSISTANCE

We offer a 24-hour emergency telephone service via New York phone number shown on Voucher (booking confirmation). During the call please indicate your booking number.

 

BOOKING POLICIES

Each booking received via e-mail will be confirmed by TravelsinUSA.com with a confirmation number. A confirmation number confirms acceptance of the reservation request. It does not guarantee that services

or accommodation will be provided regardless of the circumstances surrounding the reservation.

Any bookings that have not been cancelled according to these procedures are considered live reservations and are subject to cancellation charges.

All hotel reservations are non-transferable and substitution of one passenger for another at check in is never permitted. Requests are subject to availability; acknowledgement is usually sent within 24 hours except for Hawaii, National Parks and non-published hotels. We will respond to these requests as soon as possible.

 

HOURS OF OPERATION FOR RESERVATION AND

AMENDMENT REQUESTS

Requests for reservations or cancellations received after 6:00 PM Eastern (NYC) Time will not be handled until the next business day. For example, a change or cancellation received on Saturday for an imminent arrival will not be reviewed until Monday morning and therefore may be subject to no-show or cancellation charges.

 

FICTITIOUS BOOKINGS

Our system does not permit the creation of fictitious bookings. Once confirmed, all bookings are subject to all Terms and Conditions. Fictitious bookings will not be honored and clients making such reservations will be subject to (and hereby agree to) a $30 pre individual name change service charge and the rejection of future bookings.

 

MULTIPLE BOOKINGS

We do not accept multiple bookings for the same party in the same hotel as these may be considered group or speculative bookings. Should such a booking be made, the hotel may charge a higher room rate as well as porterage charges. TravelsinUSA.com accepts no responsibility for any additional charges and such charges may be billed directly to the passenger’s credit card. Both the hotel and TravelsinUSA.com reserve the right to cancel or refuse to confirm these bookings.

 

BOOKING MODIFICATIONS

To prevent speculative bookings, hotels often regard certain booking modifications as cancellation and rebooking. These modifications include (but are not limited to) name changes and changes of duration. In these instances, cancellation charges may apply and there is no guarantee that the new booking will be at the original rate. In some circumstances, the room may no longer be available.

 

ITINERARY CHANGES BY CLIENTS

Once the passenger has arrived in the USA and/or Canada, itinerary changes can only be made by contacting TravelsinUSA.com. Any changes or cancellations will be subject to the cancellation charges detailed above.

 

UNUSED SERVICES

There will be no refund for any portion of a pre-packaged program that is not used by the passenger.

 

SMOKING

Smoking is not permitted on touring or sightseeing coaches in the USA and Canada. Smoking is also restricted in most hotels and restaurants, and in certain cities, bars and lounges. Many hotels in the USA and Canada are now 100% non-smoking.

 

MEDICAL AND PHYSICAL ABILITY TO TRAVEL

Passengers should be medically and physically fit for travel. They should consult with their personal physician if they have any questions regarding their medical or physical fitness for travel, including the appropriateness of any inoculations that may be recommended or required.

If your passenger has a medical or physical condition that may require reasonable accommodation from TravelsinUSA.com please indicate your needs to us at the time of booking. TravelsinUSA.com will do all possible to make reasonable accommodation for these passengers but bookings cannot automatically be confirmed. Passengers needing assistance for personal needs should be accompanied by an able-bodied companion.

 

SIGHTSEEING & ADMISSIONS

All sightseeing tours operate on a “seat-in-coach” basis, unless specifically indicated otherwise. Some service suppliers will pick up and/or drop off passengers at specific hotels, but this is not guaranteed. In most instances, passengers will have to make their own arrangements to/from departure and/or arrival points. Sightseeing tours do not include admissions (unless specifically indicated otherwise).

 

AIRPORT TRANSFERS

Due to heightened security measures, representatives can no longer meet arriving passengers at the arrival gates. Instead, the driver or guide will meet the passenger, either in the baggage claim area or at curbside in front of the terminal building. Passengers must be informed about this procedure.

All bookings for transfers must include airline (not codeshare airline), flight number, times and hotel name.

 

PRIVATE TRANSFERS

Due to an increase in air traffic, enhanced security measures at airports, slower immigration procedures and baggage delivery (all areas over which we have no control) passengers are often delayed beyond a reasonable time period, which may cause them to miss their scheduled pick-up for private transfers.

TravelsinUSA.com will not be liable for any refunds if the passenger does not notify the supplier as above, regardless of circumstances. The contacts of transfer supplier are indicated on Voucher.

 

CUSTOMER SERVICE WHILE TRAVELING WITH US

When passengers have problems, concerns, or need to cancel a reservation for a hotel or service, TravelsinUSA.com is fully committed to addressing these concerns immediately rather than after they return.

To accomplish this, all we require is that passengers notify us directly in the event that something unforeseen occurs. Passengers or their travel agents must immediately contact the New York office by telephone – number shown on Voucher (booking confirmation). The line is answered 24 hours a day, 7 days a week by trained passenger assistance specialists who can resolve the majority of issues on the spot.

If passengers do not contact our offices at the time of the problem, we reserve the right to turn down requests for compensation as we were not notified when the problem occurred and did not have the opportunity to address the related issues.

Whenever passengers are asked to pay directly to a supplier, they should contact immediately at the number above to avoid billing issues.

 

PASSENGER BEHAVIOR

While most guests travel for rest, relaxation and enjoyment, in rare instances, a guest’s behavior may put others at risk, cause damage to property, or affect the enjoyment of others. In such cases, TravelsinUSA.com assumes no responsibility for the consequences of the guest’s actions and will issue no refunds in cases where a guest’s behavior leads to him or her being unable to complete his or her stay.

 

RESPONSIBILITIES

TravelsinUSA.com reserves the right to substitute hotels and services of equal or better standard for those mentioned in the tour itineraries and to alter sightseeing schedules and/or types of transportation whenever and wherever we deem it operationally necessary.

 

TRAVEL INSURANCE

We strongly recommend that appropriate insurance be obtained prior to arrival.

 

TRAVEL DOCUMENTATION

Travel documents, including visas, as well as compliance with custom regulations, are the responsibility of the passengers. TravelsinUSA.com will not be responsible for costs incurred by passengers as the result of having improper or insufficient travel documentation. Proper travel documentation for the purpose of identification upon check-in is also essential

 

EXCEPTION DISCLAIMER

Any exceptions made to our Terms and Conditions may not be interpreted as a failure to enforce said Terms and Conditions and do not obligate TravelsinUSA.com in any way to make future exceptions.

 

TYPE OF SERVICES PROVIDED

Joint-stock company „BENDRAI“ (the owner of www.TravelsinUSA.com) is a tour operator, operating as a retailer of travel products in the United States. As such, it acts as a facilitator only and not as a provider of hotel and local services. The suppliers of transportation, sightseeing, hotel accommodation, meals and other services and attractions, as well as tour escorts, are independent contractors and not agents or employees of TravelsinUSA.com and therefore neither TravelsinUSA.com nor any of its affiliates shall be liable for any personal injury or death or damage to or loss of property arising out of the performance or non-performance by such persons and entities or arising out of other incidents while on tour including without limitation equipment breakdown, accidents, theft, lost or damaged baggage, strikes, delays and cancellation of or changes in itinerary, schedules, etc. TravelsinUSA.com has no liability for, and will make no refund in the event of any third party delay, cancellation, overbooking, strike or any other force majeure or cause beyond its direct control.
